Dear Harbor View Families,

As we head into the holiday season, we’re already looking ahead to one of our favorite spring events:

Parents Night Out and its incredible silent and live auctions that help support our students and school programs. 

While you’re out shopping, dining, or booking experiences over the next few weeks, we’d love your help securing auction items from the businesses you already know and love. 

A simple, “Would you be willing to donate something to my child’s school auction?” can go a long way!

We’re especially looking for items in categories like:

  • Kids – classes, camps, birthday party packages, toys, books
  • Beauty & Wellness – spa services, salon treatments, skincare
  • Trips & Experiences – hotel stays, getaways, unique local experiences
  • Technology – headphones, speakers, tablets, gaming items, accessories
  • Plus, gift cards, restaurant certificates, and special services of all kinds

No item is too small – truly, all donations are welcome and appreciated. Smaller items can always be bundled together to create great packages.

And if the idea of asking a business feels a bit too embarrassing or out of your comfort zone, you can always purchase something yourself and donate it directly to the auction. 

Every contribution helps make a big difference.

If a business is interested in donating, they can provide:

  • A gift card or certificate
  • A physical item
  • An experience (lesson, service, tasting, etc.)

Looking for:

The Auction Procurement Lead(s) manage all aspects of item procurement from corporate sponsorships to items from local businesses to teacher-led school experiences.  It requires reaching out to our community as well as managing the backend processes including the website where items are hosted, the execution of donor benefits, and the storage and distribution of items to winners.  It’s one of our most important, engaging, and fun roles and requires someone who loves to be involved in all aspects of the process.

Auction Procurement Lead(s) duties include:

Tracking the storage, organization, and timely distribution of physical auction items to winning bidders

Soliciting community and corporate sponsorships as well as  auction items from businesses and individuals

Managing donor paperwork and execution of donor benefits (e.g. banners, social media exposure, and recognition)

Maintaining up-to-date auction item repository, including descriptions and donor information

Coordinating with PFO Social Media Leads, Lead Room Parents, and Teachers accordingly
